The Supervisor, Service Contracts & Reimbursement will contain a high level of knowledge and competency of contract terminology, financial practices, and concepts. This position has direct contact with a wide variety of internal and external customers as well as vendors. Strong written and verbal communication skills are a must with a demonstrated ability to effectively communicate complex matters in an efficient and accurate manner. This position advises and provides feedback and recommendations regarding vendor service contract terms, pricing, and conditions to internal departments and Site Leaders.


This role is responsible for auditing the accuracy and timely scheduling and billing of contracts being accrued and paid. This role requires working with cross functional teams to evaluate and provide fiscal analysis for site level vendor contracts and contract request. This position troubleshoots, coordinates and communicates daily with internal departments and sites on issues related to vendor service contracts administration, financials, procedures, alternative offerings, requirements, contract information, amendments, and discontinued rate agreements. This position is also responsible for driving continuous process improvement initiatives within the Clinical Engineering Support group.


Vendor Contract Management (60%)

  • Develop annual cost monitoring plan 
  • Evaluate alternative internal resources and 3rd party vendor contracts to optimize contract spend
  • Continuously review and monitor established forward pricing and negotiated rates to detect variances from previously expect trends.
  • Provide technical advice and assistance to pricing personnel regarding revenue discrepancies, price increases, etc.
  • Respond to internal questions regarding contract interpretation.
  • Drive added value for service, training, and technical support by developing tools that help in the planning of in-sourcing contracted services
  • Responsible for performing initial review of contract request and changes
  • Provide management reports summarizing recommendation of vendor contracts, revenue discrepancies and pricing discrepancies as well as vendor contract options and service delivery issues.
  • Monitor that reimbursements from customer are being processed timely.  

Leadership (20%)

  • Troubleshoot problems and resolve issues with the field
  • Review the auditing and cancelling of customer contracts.
  • Establish and maintain positive relationships with vendors, technicians, and internal departments
  • Develop computer programs as appropriate to conduct regression, correlation, and trending analysis to establish reasonableness of contracts and contract cost
  • Develop and deliver presentations to advise and train on internal contract processes, accomplishments and cost savings.
  • Audit the accuracy and timely scheduling and billing data for contracts being accrued and paid

Continuous Improvement (20%)

  • Drive continuous improvement initiatives focused on vendor contracts, cost reductions, and departmental procedures.
  • Project Management and participation on projects associated with contracts.


Education and Work Experience

  • Bachelor's Degree in Accounting, Business or Finance
  • Experience in performing financial research and analysis
  • At least five plus years of experience dealing directly with revenue and expenses.
  • Minimum 3 years in supervisory role
  • Experience working with a team in a high pressure and changing environment


  • Understands basic accounting and general ledgers
  • Strong Microsoft Excel skills required
  • Ability to prioritize work and balance multiple projects
  • Excellent problem solving and analytical thinking skills
  • Strong written and verbal communication skills
  • Working knowledge of medical equipment and clinical engineering in hospitals preferred
  • Ability to perform customized financial research and analysis
  • Excellent interpersonal skills to develop positive relationship with customer
  • Attention to accuracy, detail and thoroughness
